The incumbent will provide administrative support for the Divisions Heads and support other Physician Leaders in the Department of Obstetrics, Gynecology and Newborn Care at The Ottawa Hospital (TOH). The incumbent will work closely with the Chief Administrative Officer to help manage their tasks and assist them when required. The incumbent will also be responsible for the coordination of departmental events. The administrative assistant will work as a team member with others by sharing workload, tasks and duties as required to achieve timely results.
Responsibilities:
- College/University level degree or equivalent
- Three years previous secretarial or administrative experience
- Health care environment or equivalent experience preferred
- Experience in dictatyping
- Keyboarding (55 wpm)
- Advanced Word, Excel, PowerPoint, and Office 365 (including One Drive and Sharepoint) capabilities
- Internet capabilities
- Effective listening skills
- Experience with coordinating and maintaining supervisor's schedules
- Exceptional organizational skills and ability to prioritize multiple tasks and responsibilities
- Excellent interpersonal and verbal communication skills required to interact with and relay messages to all levels of hospital staff, external contacts and general public
- Exercise initiative, sound judgment, tact and discretion in the performance of duties
- Excellent written communication skills required to support, draft and generate correspondence or documents related to activity or special projects
- Excellent problem-solving and decision-making skills required to deal with unexpected situations or issues
- Prior experience in meeting coordination and minute taking to support committees and meetings
- Discretion and sensitivity with respect to handling information and correspondence.
Preferred Qualifications:
- Previous work experience in TOH, Ottawa Hospital Research Institute or the University of Ottawa
- Bilingual (English and French)
- Knowledge of medical terminology
