Responsible for the coordination of travel for assigned
program. Serves as a liaison for travel agency and booking.
RESPONSIBILITIES:
- Coordinates and manages all travel related events for applicable employees including air travel, hotel accommodations, event/meeting spaces, and ground transportation.
- Arranging travel and accommodations for participants and generating travel authorizations for pre-approval before booking occurs.
- Utilizing existing travel policies/processes/procedures designed and developed to specifically meet the needs of applicable stakeholders.
- Providing 24/7 access to participants during travel.
- Managing day of event capabilities.
- Prepares and forecasts weekly travel plans for Manager to review and approve.
- Submits travel requests, flight arrangements, hotel accommodations and transportation arrangements.
- Ensures tickets, itineraries and documentation are correct and delivered to employees within a timely manner.
- Coordinates arrival and departure database for planning and tracking purposes.
- Monitoring and Evaluation system in place to include automatic pre, during and post event/travel surveys for participant feedback.
- Budget support and development for requirements in coordination with INL Kyiv
- Performs other job-related duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
- Must be able to fluently speak English, Ukrainian, and Russian.
- Exhibits excellent judgment with the ability to manage highly sensitive and confidential information.
- Strong problem-solving and analytical skills.
- Excellent written and verbal communication skills.
- Must have excellent attention to detail.
- Ability to multi-task in a fast-paced environment.
- Proficiency in utilized software programs including Microsoft Office Suite.
- Ability to prioritize, lead and manage multiple projects and tasks to successful completion.
- Understanding of, and experience with, State Department management policies and procedures, Federal travel regulations, government accounting and reporting, and contracting and procurement.
- Ability to operate significantly under own initiative.
- Strong team player who is eager to jump in to take care of crises as they emerge.
- Ability to work with a wide variety of actors, including policymakers, representatives of other governments, business and the non-governmental community.
